Sales Administrator

Job Summary:

The Sales Engineer Administrator is part of a development program for our sales department. The admin will work as a support function to the Sales Engineers by entering orders, assisting with documentation required for manufacturing, and ensuring accurate information flow to and from internal customers.

Supervisory Responsibilities:

  • None.

Duties/Responsibilities:

  • Prepares source data for computer entry by compiling and sorting information, and establishing entry priorities.
  • Processes customer and account source documents by reviewing data for deficiencies, resolving discrepancies by using standard procedures, or returning incomplete documents to the team leader for resolution.
  • Enters customer and account data by inputting alphabetic and numeric information on a keyboard or optical scanner according to screen format.
  • Verifies entered customer and account data by reviewing, correcting, deleting, or reentering data; combining data from both systems when account information is incomplete; purging files to eliminate duplication of data.
  • Maintains operations by following policies and procedures; reporting needed changes.
  • Maintains customer confidence and protects operations by keeping information confidential.
  • Assist in preparing all documentation required for manufacturing and releasing orders to the floor.
  • Support total quality efforts by providing timely and accurate information for order entry, elevating quality issues to the attention of management.
  • Contributes to team effort by accomplishing related results as needed.
  • Performs other related duties as assigned.

Required Skills/Abilities:

  • Some knowledge of manufacturing processes and concepts
  • Good time management, presentation/training skills, planning and value-added selling skills
  • Advanced written and verbal communication skills
  • Must have the ability to build relationships over the phone
  • Must have a proactive communication style, ensuring timely status of projects to account team and customer
  • Ability to focus ambiguous customer needs into specific, deliverable requirements
  • Able to develop relationships and communicate with high-level customer technical staff
  • Ability to work independently and as part of a team
  • Ability to work under pressure with tight deadlines
  • Ability to work on multiple projects simultaneously
  • Must be detail-oriented

Education and Experience:

  • High school diploma or equivalent.
  • Pursuing a degree in a business-related field.

Physical Requirements:

  • Uncontrolled environmental conditions: noise, dust, dirt, and mobile equipment
  • Occasional lifting up to 15 lbs.
  • Any combination of standing, bending, climbing, balancing, kneeling, crouching, reaching, handling, feeling, and walking 8 to 10 hours per day
  • Ability to work up to 8-10 hour shifts and overtime as required by the work
  • Use of all limbs, dexterous and steady use of hands and arms for long periods of time
  • Simultaneously mental and muscular coordination, visual and audio awareness of the surrounding area
